How to obtain your EVV Provider Portal via HHAeXchange


The 21st Century Cures Act and the Centers for Medicare & Medicaid Services (CMS) mandate

  1. that states begin utilizing an Electronic Visit Verification (EVV) system for all Personal Care Services (PCS) by January 1, 2021, and for all Home Health Care Services (HHCS) by January 1, 2023; and
  2. that all visits be timestamped via an electronic verification method utilizing EVV tools to record the member, caregiver, location of service, date of service, and type of service performed. Therefore, providers considered type 65 (Home Health Agencies, Nurse Registries and Homemaker/Companion Providers) are required to use EVV.

For FCC, our vendor is HHAeXchange. Register for a HHAeXchange Provider Portal following these instructions:

Registration Process

  1. If you do not have an HHAeXchange portal, please visit https://www.hhaexchange.com/info-hub/florida and complete the Provider Portal Questionnaire.
  2. Once your portal is created, you will receive credentials via email.
  3. Note: If you acquired a new NPI number that is different than the NPI number that is on your FCC contract, you will need to request a new office under this new NPI number.

For Providers Using 3rd Party EVV Tools

  1. If you are already using a 3rd party EVV vendor and do not yet have a portal in HHAeXchange, please send an email to EDISupport@hhaexchange.com
  2. Please include "Florida Community Care" in the subject line.

What to do when you receive your credentials?

  • Log into HHAeXchange. At the top right hand corner, you will see a drop down menu.
  • You will click on the arrow and select Support Center from the list of options. This will bring you to the HHAeXchange Provider Knowledge Base.

  • Here is where you will be able to familiarize yourself with the HHAeXchange learning management system. Simply enter a key word in the search bar and you will find videos, tutorials and guides to help you get started.

Our suggestion is to learn as much as you can and have all of your caregivers/field staff download the HHAeXchange application on their smart phones and register themselves. They will notice that doing so, will give them access to their schedules where they will be able to clock in and out satisfying the EVV requirement.
